Business Office Administrator/HR Specialist

This position is central to every aspect of the FASPS organization and employee base (roughly 100 employees), and we plan to see the role develop and grow within our School. This is a full-time, benefits-eligible role that supports the school’s Business Office (Payroll Administration and Accounts Payable) and Human Resources functions (Benefits Administration). The Business Office Administrator/HR Specialist reports to the COO/CFO.

This is a full-time, non-exempt position at 40 hours per week.

Salary range: $60K – $80K depending upon experience.

Essential Job Responsibilities & Expectations Include the following:

1) Payroll Administration

a)      Responsible for the school’s monthly payroll process. Audit and process payroll documents. Make recommendations for payroll related policies. Provide training as needed to managers and staff to ensure compliance and full utilization of tools.

b)      Process employee data for new hires, changes, additional earnings, etc. in the payroll database. Ensure that associated voluntary payroll deductions are recorded appropriately in the payroll system.

c)       Process employee time data within the payroll system and reconcile variances. Maintain vacation and sick time records.

d)      Develop in-depth understanding of payroll software. Create reports on demand.

e)      Responsible for month-end duties including approving benefits related invoices, ensuring timely payment, and assisting with payroll accrual and general ledger reconciliation.

2) HR Specialist

a)      Partner with COO/CFO to develop new initiatives for enhanced employee health and wellness programs where appropriate.

b)      Respond to employee queries and requests regarding both payroll and benefits.

c)       Prepare and maintain employee files, assuring accuracy, compliance, and confidentiality. Administer and enhance the new employee orientation experience both during open enrollment and for new hires throughout the year.

d)      Work with third-party broker to conduct annual benefits review prior to open enrollment. Conduct research, analyze plan options, conduct cost analysis, and make recommendations to COO/CFO. Develop census reports for our third-party administrator and health care providers.

e)      Effectively interpret FMLA and ADA (at the national level), FML/PFML (at the state level) implications as they relate to leaves of absences/disabilities. Partner with CFO/COO to process and execute all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA.

f)        Properly record, track, and administer the termination process to comply with all legal aspects (i.e., COBRA law, continuation of employee benefits) and school policies.

3) Accounts Payable

  • Maintain vendor database within the accounts payable system.
  • Review invoices, review G/L coding with department heads, and submit payments for approval per the school’s policy.
  • Maintain detailed electronic payment records within the accounts payable system.
  • Submit W2s and 1099s according to the annual timelines set out by the IRS.
  • Participate in the school’s two annual audits (403b and financial) with our third-party audit team.

Preferred Qualities and Qualifications:

– Work experience in Human Resource Management (Certifications in PHR, SHRM- CP, etc.) and Business Office functions.

  • Knowledge of payroll database administration.
  • Knowledge of human resource laws and state and federal regulations.
  • Knowledge of benefits programs including health insurance, long-term disability programs, workers’ compensation insurance, unemployment regulations, life insurance, 403(b) & 457 plans, COBRA, etc.
  • Knowledge of accounts payable processes and vendor database management.
