Position Summary:  Reports to the Upper School Head. Provides administrative support to the Upper School including attendance and daily activities. Responsible for data input, retrieval, and analysis. Coordinates regular communications between the Upper School Head and faculty, students, and parents. This is an on-site position with regular hours being from 7:30 AM to 3:30 PM.

 

Duties and Responsibilities

Student/Parent/Teacher Liaison

  • Greet students, parents, and teachers warmly in person, by phone, and through email
  • Attend and coordinate school-day and evening parent events
  • Direct inquiries and requests for assistance to the appropriate school personnel

Administrative Assistance

  • Schedule meetings with multiple parties
  • Review student credit requirements to ensure seniors are prepared for graduation
  • o   Requires familiarity with the school’s academic requirements
  • Reconcile expense reports and assist teachers with purchasing of supplies
  • Record and post divisional faculty meeting minutes

Communications and Information Systems

  • Use of MailChimp for communications
  • Input and update parent/student database information
  • Manage scheduling systems for teacher conferences and parent events
  • Align and coordinate Upper School communications with all-school notices
  • Manage Advanced Placement (AP) exams sign up and administration

Lead Attendance Officer for Upper School

  • Arrange substitute coverage for short-term teacher absences
  • Includes some communications outside of normal working hours, especially in the mornings
  • Compile morning attendance report, reconciling parental communications with teacher attendance from the classroom
  • Sign students in and out when leaving early or arriving late

Community Engagement

  • Collaborate with other offices in the coordination and execution of major events (Back-to-School Night, student conferences)
  • Actively engage in professional development activities that relate to the role

 

Knowledge, Skills, and Abilities

  • Knowledge of and experience with contemporary office procedures and methods, including telephone communications, office systems, record-keeping, databases, and other information technologies
  • Knowledge of and experience with contemporary business communication, including style and format of letters, memoranda, minutes, and reports, as well as multimedia presentations using MS PowerPoint and data presentations using graphs, charts, and MS Excel
  • Skill to use a personal computer and MS Office suite, including MS Outlook
  • Skill to type at least 50 words per minute
  • Ability to multi-task, establish priorities, work independently, and proceed with objectives without close supervision
  • Ability to work in a fast-paced, public-facing work environment, while simultaneously managing several behind-the-scenes projects at once

 

Credentials and Experience

  • Demonstrated experience in customer relations; desire to represent the “front of the house;” and experience with professional roles in which multi-tasking and project management are required
  • Demonstrated ability to collaborate effectively with diverse community members to achieve shared goals
  • Associate’s degree required; bachelor’s degree preferred
  • Two years’ work experience in an academic environment (especially independent schools), or an equivalent combination of education and experience

 

Compensation

  • $68,500-$76,500
